What we collect
- What you say. Your words are transcribed as you speak so AppealBuddy can understand you. This usually includes the service that was denied, your health plan, the reason given, your doctor's name, details about your health and daily life, and, if you choose to give them, your name and member ID.
- Your appeal. The facts and the letter shown on your screen live in your browser tab. We do not keep a copy on our own servers. If you close the tab or tap Start over, it is gone.
- Technical details. Like any website, our hosting provider records basic request information such as your IP address and browser type, to keep the service running and secure.
We never ask for your Social Security number, bank or card details, or passwords. Please don't say them during a conversation.
How we use it
Only to understand your situation, write your appeal letter, and keep AppealBuddy working and secure. We do not sell your information, share it for advertising, or use it to build profiles about you.
Who processes it for us
- ElevenLabs runs the voice conversation: it transcribes what you say, runs the AI model that writes the letter, and speaks the replies.
- Vercel hosts the website.
They process information only to provide their service to us. We will update this list before adding anyone new, such as a payment or text message provider.
How long we keep it
- Voice audio: not recorded or stored.
- Conversation transcripts: deleted automatically after 7 days.
- Your appeal and letter: not stored by us. They stay in your browser until you close the tab.
- Website request logs: kept by our hosting provider for a short period, then deleted.
About HIPAA
AppealBuddy is a tool you use for yourself. It is not a health plan, doctor or hospital, and it is not working on their behalf, so the federal HIPAA law generally doesn't cover what you tell it here. We protect your information as though it did: it is encrypted while it travels, kept for as short a time as we can, and used only to write your letter.
Your choices
- Delete. Every transcript is deleted automatically 7 days after your conversation. We don't record your voice, and your letter stays in your browser until you close the tab. A contact page where you can ask us to delete a transcript sooner is coming soon.
- See what we have. The list above is everything we hold: a transcript for up to 7 days, and short-lived website request logs.
- Stop. You can end a conversation at any time by closing the page.
We answer requests within 30 days, and never charge for them.
If you're helping someone else
Family members and counselors are welcome to use AppealBuddy for someone else. Please only share another person's health information with their permission.
Consumer Health Data Privacy Policy
This section is for people in Washington, Nevada and other states with consumer health data laws.
- Health data we collect: whatever you tell us about your health, treatment, doctor and coverage during a conversation.
- Why: only to provide the service you asked for, writing your appeal letter.
- Where it comes from: you, through what you say.
- Who we share it with: only the processors listed above, to run the service. We do not sell health data.
- Your rights: to confirm whether we hold your health data, to see it, to have it deleted, and to withdraw consent. Use the email above. If we decline a request, you can appeal by replying to our answer, and we will respond within 45 days.
Children
AppealBuddy is for adults. It is not meant for anyone under 18.
If something goes wrong
If your information is ever exposed without permission, we will notify you and the authorities as the law requires.
Changes
If we change how we handle your information, we will update this page and the date at the top before the change takes effect.
